Missed Appointments and Late Cancellation Policy
Every year the practice loses valuable surgery time due to patients failing to attend their appointments, or cancelling at short notice. This makes it difficult for us to accommodate our patients in need of urgent treatment, for existing patients to book appointments and for new patients to register at our practice. Late cancellations and missed appointments represent a cost to the practice, when other patients could have been seen in the time set aside for the patient.
For this reason, patients are required to give at least 24 hours’ notice to cancel a dental appointment. Cancellations should be made by telephone on 01252 874 984.
We do not make a charge for NHS patients for a late cancellation or missed appointment. However, we reserve the right to ask a patient to find another dental practice if they continue to miss appointments.
If more than two dental appointment are missed or cancelled with less than 24 hours’ notice, we do not guarantee being able to complete a patient’s NHS treatment or offer them NHS treatment in the future.
Hygienist and Private Dental Appointments
There is a fee for private dental appointments that are missed or cancelled with less than 48 hours’ notice. The fee is based on the length of the appointment and can be found in the private fees list.
Patients are required to pay a deposit when booking to see the hygienist or a private dental appointment. The deposit for a hygienist appointment is £30 and the deposit for a private appointment is £1 per minute of appointment time booked. In the event that patients fail to attend an appointment or cancel an appointment with less than 48 hours’ notice, in line with our practice policy we will not be able to return the deposit paid.
Text and Email reminder system
All texts and email reminders are logged on our system when successfully sent. It is your responsibility to check your text messages and emails. We will assume that you have received your reminder if it has been logged as successfully sent.
NHS registration lapse
There is an expectation that NHS patients attend the practice at regular intervals, usually every six months as per NICE guidelines. The recommendation to have an oral examination is a key message in preventative dentistry. Research shows that long-term attendance has a positive impact on oral health in general, contributing to increased oral health-related quality of life while decreasing tooth loss and caries rates.
The practice has limited NHS funding and for this reason will monitor patient attendance on a regular basis. Where patients have not visited the practice in the last 24 months their NHS registration will lapse and we may not be able to offer them NHS dental care in the future.
